Addressing the Top 10 Roadblocks to Implementing a Dental Membership Plan

As a group practice or DSO you have a lot on your plate—HR, marketing, team recruitment, team training, billing, payroll, and so on. You may feel that taking on a new project or initiative isn’t something you can handle right now. We understand. At Kleer, we commonly hear from groups and DSOs that they don’t have the time or expertise to implement a dental membership plan. We built Kleer to address your concerns—making it much faster and easier to implement a successful membership plan than you may think!

1. There is no urgency to implement a membership plan right now.

COVID-19 had a major impact on the dental industry. The number of uninsured patients increased from 100 million to 130 million due to job losses and job changes, patient visits declined 20-25% due to patient fear and distancing, and the costs of running a practice increased 5-10% due to PPE and infection control. A Kleer membership plan is a quick solution to addressing these issues. It helps your uninsured patients get the coverage they want and need. As a result, they visit 2-3X more often, generate 2.1X more revenue, and build a reliable, recurring revenue stream for your practice.

2. My team is too small, we can’t handle this.

Our Kleer Success Team will help you every step of the way. We have onboarding specialists who will help you design and price your plan, train your team on how to use the Kleer platform, and help promote your plan to patients. Once you are up and running, our growth specialists will consult with you on plan performance and provide you with best practices to grow your membership. And, our support specialists are always available to answer you and your patients’ questions via phone, email, or chat. Working together, you will be up and running in no time with a custom membership plan that will get results. As an example, one of our customers, PNW Dental, enrolled 208 members and generated almost $100,000 of recurring revenue in just 1 ½ years with a team of four! Read the full case study.

3. Implementation will take too long.

Your time is precious and we understand that. Once you have completed a live, interactive demo of the Kleer membership platform, we need just 30-60 minutes of your time for a membership plan design and pricing consultation with our Director of Group Success and another 30-60 minutes to train your team. That’s it! Your custom membership plan is then ready to launch!

 4. I don’t know how to build a membership plan.

During your consultation our Director of Group Success will help you design care plans based on practice treatment preferences, practice goals, and patient demographics. The care plans can be the same across dental practices or customized for each office. We will use our proprietary SmartPricing™ tool that takes into account your fee schedule(s) and data from thousands of dental practices on the Kleer platform to price your plans in a way that optimally balances patient and practice value. By the end of the consultation you will have a well designed and priced membership plan that works perfectly for your group.

5. We’re not tech savvy. This will be too hard for our group.

Don’t worry, the Kleer platform was designed with simplicity in mind. The Kleer Group Portal enables group leadership to easily view members, renewals, payments, and deposits across practice locations. Our simple reporting dashboard and downloadable reports make it easy to see which practices are performing well and which practices need attention.

Individual practices have access to the Kleer Practice Portal which shows members, renewals, payments, and deposits for their specific location. In addition, they can access a library of in-office and digital marketing collateral, a Help Center that contains team support and training resources, and patient support tools that make it easy to add new members or update existing member accounts.

 6. I don’t have time to train my team.

Training new team members can be a big burden, especially if you have high turnover. The good news is that Kleer provides training resources to help your team quickly get up to speed. We provide an abundance of self-guided resources including training videos, tip sheets, and scripts that can be accessed at any time. If anyone still has questions they can reach out to our Kleer Success Team to get their questions answered.

 7. Managing a membership plan will be too much work.

The Kleer platform was designed to streamline manual, time-consuming processes. It automatically tracks and manages upcoming payments, past due payments, and renewals. You can easily view member information including which care plan was purchased, payments made, deposits, membership status, and the plan renewal date. You can edit this information at any time from the Kleer Practice Portal or patients can do it themselves using the Kleer Member Portal. All of these features enable you to focus on practice management and patient care instead of membership plan management.

 8. I’m not sure how to explain a membership plan to my patients.

Patient communication is imperative to the success of a dental membership plan. This is why Kleer provides you with free, regularly updated marketing materials to promote your plan. Just some of the tools you will receive are brochures for your front desk, a custom web page for patient sign ups, widgets for your website, scripts for your doctor, hygienists, and front office staff, email templates, social media templates, and direct mail templates. And any questions that your patients have can be directed to our support specialists, saving you time responding to inquiries yourself.

 9. A membership plan will require a lot of ongoing attention.

With Kleer’s technology, resources, and help from the Kleer Success Team, your team will not need to alter their current routine. One of our customers said it best when she said, “Our six practice managers are thrilled that Kleer removes a lot of the manual work from their plate with features like automatic renewals and the ability for patients to sign up right from the website. For me, I can easily see how many subscriptions we have per practice, per week, making it extremely clear how profitable we are.” Read more customer testimonials.

 10. I don’t know if a membership plan will be successful.

One excellent example of a group who has seen success with a Kleer membership plan is Smile Starters, a 9-location, 40-dentist, pediatric practice in North Carolina. Their goal was to provide affordable, quality dental care while minimizing staff support and cost. In the first 4 months of partnering with Kleer, they enrolled 276 patients in their membership plan, generating $70,656 of recurring subscription revenue! Read the full case study.
